Manage Clients, Contacts and Locations

The Clients module is where you manage your customer records, including contacts, locations, documents, notes and tasks. It also gives you visibility of all jobs associated with each client.

View Your Clients

Open the Clients module from the sidebar to view all of your client records.

From here you can:

  • View clients in a list or map view.

  • Search for a specific client.

  • Mark clients as active or inactive.

  • Display inactive clients when required.

Select View to open a client's record and access all associated information.

Add a New Client

To create a new client:

  1. Click New Client within the Clients module, or use Quick Create.

  2. Enter the client's details, including their name, contact information and address.

  3. Enable follow-up emails or calendar invites if required.

  4. Click Save.

We recommend completing as much information as possible to keep your records accurate and easy to manage.

Manage Notes and Tasks

The Notes & Tasks tab helps you keep important information and reminders against each client.

Notes

Use notes to record important information about a client.

Notes can:

  • Store internal information.

  • Be viewed within the mobile app (depending on user permissions).

  • Be edited or deleted whenever required.

Tasks

Tasks help you keep track of follow-ups and internal actions.

When creating a task, you can:

  • Add a title and description.

  • Select a task type.

  • Set a due date.

  • Assign the task to a team member.

  • Upload supporting documents.

  • Enable email reminders.

For example, you could create a reminder to follow up on a contract renewal.

Manage Client Locations

If a client has multiple sites, you can store them under a single client record.

To add a location:

  1. Open the Locations tab.

  2. Click New Location.

  3. Enter the location details.

  4. Click Save.

Import Locations

If you're adding multiple locations, you can import them using a CSV file.

  1. Download the CSV template.

  2. Enter your location data.

  3. Remove the guidance notes.

  4. Save the file as a CSV.

  5. Upload the file.

You can also search and filter locations or edit and delete them as required.

Manage Client Contacts

The Contacts tab stores the people associated with each client and location.

To add a contact:

  1. Click New Client Contact.

  2. Enter the contact details.

  3. Link the contact to the appropriate location.

  4. Click Save.

When creating jobs, contacts can be selected so their information is automatically populated.

Import Contacts

You can also import contacts in bulk by:

  1. Downloading the required IDs.

  2. Completing the CSV template.

  3. Uploading the finished file.

Use the search bar and filters to quickly locate contacts.

Store Client Documents

The Documents tab allows you to store files against a client or a specific location.

Examples include:

  • Risk assessments.

  • Floor plans.

  • User guides.

  • Site documentation.

These documents can also be attached to jobs so they're available to your field team.

To add a document:

  1. Click New Document.

  2. Enter the document details.

  3. Select the relevant location.

  4. Upload the file.

  5. Click Save.

Documents can be searched, filtered, previewed, edited or deleted at any time.

View Client Jobs

Each client record includes dedicated job tabs, allowing you to track work as it progresses.

Assigned Jobs

These are jobs that have been assigned to a team member but haven't yet been synced to the mobile app.

From here you can:

  • Search and filter jobs.

  • View job details.

  • Edit jobs.

  • Unassign jobs.

  • Change the assigned team member.

In Progress Jobs

These jobs have been synced to the mobile app and are currently being worked on.

You can:

  • Search and filter jobs.

  • View job details.

  • Update information.

  • Add documents.

If a job is actively being worked on, we recommend checking with the assigned team member before making changes.

Pending Jobs

Pending jobs have been completed by the field team and returned for review.

From here you can:

  • Review the completed workflow form.

  • Download the workflow form as a PDF.

  • Complete the job.

  • Reassign the job if further work is required.

Completed Jobs

Completed jobs provide a permanent record of finished work.

You can search previous jobs, review their details and share completed job information with your customers when needed.
