Managing Your Assets

Learn how to view and manage every vehicle in your fleet. This video shows how to search, edit settings, assign groups, update costs, and set custom working hours for each vehicle.

The Assets section lets you view and manage all vehicles in your fleet.

Viewing Your Fleet

Click the Assets option on the left-hand side of your tracking portal.
Here you can:

  • See a list of all vehicles in your fleet.

  • Search for a specific vehicle.

  • Sort and filter by vehicle type or group.


Editing Vehicle Details

To update a vehicle, click Edit next to it.
From here, you can:

  • Change the registration if a tracker is moved to a new vehicle.

  • Add an alias (nickname) to replace the registration across the system.

  • Assign vehicles to a group or create a new group under Manage Asset Groups.

  • Update the vehicle type and class to help with sorting and filtering in the Assets or Live Map sections.


Report-Related Settings

Further down, you’ll see options that affect your reports:

  • CO₂ Output: Automatically detected using DVLA records, for your Green Report.

  • Man Hour 1 & 2: Enter hourly wages for up to two people in the vehicle.

  • Running Cost per Mile and Private Cost per Mile: Used in Financial Reports to calculate total operating costs for journeys.

For example, if a vehicle drives 10 miles in one hour, the report will calculate the total cost based on the figures you’ve entered.


Custom Working Hours

Set default business hours in the Manage Account section (small person icon).

If a vehicle is allowed to be used at different times, you can enable Custom Working Hours in the Assets section.
This ensures the system correctly identifies private or authorised journeys for that vehicle.
