Understanding Account Settings

Learn how to manage email preferences, vehicle display settings, business hours and user accounts in RAM Tracking.

Your system settings allow you to customise how the platform works for your business, manage user access, and define important operational parameters.

All these options are accessible through the small person icon in the top right corner of your dashboard.

General Settings Configuration

Email Setup for Reports

Set up default email addresses to streamline your reporting process. Instead of typing recipient addresses each time you send a report, you can quickly select from your saved list of frequently used contacts.

Display Preferences

Customise how information appears throughout your system:

Vehicle Display Options

  • Show vehicles by registration number

  • Show vehicles by driver name

Choose the option that makes most sense for your daily operations and helps your team identify vehicles quickly.

Measurement Units

  • Imperial measurements (miles, feet)

  • Metric measurements (kilometres, metres)

Select the unit system that matches your business location and preferences.

Defining Business Hours

Use the business hours section to define your normal working times. This setting affects how the system categorises vehicle usage:

  • Authorised Business Use - Any vehicle activity during your defined business hours is automatically classified as authorised business use.

  • Private Journeys - Vehicle activity outside your business hours is flagged as private use. Whether this constitutes unauthorised use depends on your company's private usage policy.

Accurate business hours help you monitor fleet usage, identify potential policy violations, and generate more meaningful reports about business versus personal vehicle use.

Account Portal Access

The account portal provides easy access to:

  • Current invoices from RAM Tracking

  • Billing history

  • Payment information

  • Account status updates

This centralised billing information helps with expense tracking and account management.

User Management

Creating New Users

Add team members to your system through the user management section:

  1. Click Create User

  2. Enter their username

  3. Add their email address

  4. Choose whether to grant admin permissions

  5. Click Create New User

The new user receives an immediate email with a secure password creation link, allowing them to set up their own login credentials.

Advanced User Customisation

For more sophisticated user setups, such as restricting access to specific vehicles or creating custom permission levels, contact our technical support team.

They can configure tailored access controls that match your organisational structure and security requirements.
