Follow along with our Technical Support team as they demonstrate how to add vehicles and configure essential reminders.
Adding a New Vehicle
Setting up a vehicle is straightforward:
Click "Add Vehicle"
Enter the registration number
DVLA record automatically loads
Why DVLA Integration Matters
The DVLA connection provides two key benefits:
Vehicle History Reports: Click the Report button to view recent tax and MOT history
Automatic Reminders: System sets up tax and MOT alerts 7 days before due dates
Customising Your Reminders
Tax and MOT Reminders
These are set up automatically, but you can customise them:
Click on the reminder cards (they flip over)
Click the pencil icon to edit:
The recipient who receives notifications
Due date if corrections are needed
Advance notice (up to 90 days)
Manual Reminders You Need to Set
Insurance
Add policy details and set the reminder recipient
Service
Enter service due dates
Set mileage limits - if drivers report checks above this limit, service reminders trigger early
Lease
Add lease policy details for leased vehicles
Breakdown Policy
Enter breakdown policy information
Bonus: When drivers report breakdowns via the mobile app, policy details appear on their phone
Vehicle Documents
The vehicle documents feature (paper clip icon) isn't just storage, it's a mobile tool for drivers:
Upload insurance certificates, V5s, and other documents
Drivers can access these on their phones while on the road
Perfect for proving insurance coverage if pulled over
Setup Checklist
For each vehicle, configure:
✓ Tax and MOT reminders (automatic)
✓ Insurance details and reminders
✓ Service intervals and mileage limits
✓ Lease information (if applicable)
✓ Breakdown policy
✓ Essential documents uploaded
Proper setup keeps your fleet compliant, avoids penalties, and gives drivers instant access to important documents when they need them.
