Reviewing Vehicle Checks

Learn how to view submitted checks, filter by vehicle or date, manage defects, update repair statuses, and upload evidence in RAM Assist.

Updated over 3 weeks ago

Once your drivers are using the app and submitting vehicle checks, you need an efficient way to review and manage them. The history log provides everything you need to stay on top of your fleet's condition.

Accessing Vehicle Check History

Navigate to Vehicle Checks at the top of your RAM Assist portal, then select History Log.

Understanding the History Log Layout

The history log splits information into two clear sections:

All Clear Checks (Right Side)

Vehicle checks without issues appear here with minimal detail since there's nothing requiring your attention.

Defects (Left Side)

Any problems found during checks appear here as individual cases or tickets that you can manage through to resolution.

Filtering Your Data

Use the filter options to focus on specific information:

  • Vehicle: Filter by individual vehicle

  • Date range: View checks from specific time periods

Managing Defects

Updating Status

Each defect works like a ticket system. For example, if mirrors are reported as broken:

  1. Change status: Update from "Open" to "In Progress"

  2. Add comments: Include details like "Booked into garage for tomorrow"

  3. Track progress: Monitor repairs through to completion

Adding Repair Evidence

Click the three dots next to any defect to upload repair evidence. This might include:

  • Photos of completed repairs

  • Invoices from the garage

  • Any documentation proving the issue has been addressed

Viewing Individual Checks

Click on any vehicle check to see complete details:

  • Everything that passed inspection

  • Everything that failed inspection

  • All photos taken during the check

Quality Control: Check Duration

Pay attention to the inspection duration shown at the top of each check. This reveals whether drivers are conducting thorough inspections.

Red flag example: If a driver completes a vehicle check in 39 seconds, this suggests they haven't properly inspected the vehicle. This warrants a phone call to discuss the importance of thorough checks.

Best practice: Use check duration as a quality indicator. Legitimate vehicle checks should take several minutes to complete properly.

Maintaining Standards

The review process isn't just about fixing problems; it's about ensuring your drivers understand the importance of proper vehicle inspections.

By monitoring check quality and following up on both defects and suspiciously quick inspections, you maintain high safety standards across your fleet while demonstrating that vehicle checks are taken seriously.
