How to access driver submissions, filter by type and date, export reports as PDFs and set up automated monthly reports in RAM Assist.

The RAM Assist reporting system lets you easily review all the information your drivers submit through the mobile app. You can view data instantly, export it for offline use, and even set up automatic monthly reports.

Accessing Your Reports

Navigate to the Reports section at the top of your dashboard to get started. Once there, you'll need to configure three main settings:

  • Select Your Drivers - Choose which team members you want to include

  • Choose Submission Types - Pick what kind of data to review (vehicle checks, fuel purchases, expenses, etc.)

  • Set the Time Period - Define your date range

After making these selections, all relevant submissions will display on the left side of your screen in a clean, organised format.

Viewing and Customising Data

The default view shows all submissions in chronological order, but you have several options to customise how you see the information:

  • Alternate Image Views - Change how photos and visual data appear

  • Defect View - For vehicle checks, this filters to show only issues that need attention

  • Export to PDF - Download reports for offline review or sharing

The system automatically calculates totals for fuel purchases and expense claims, showing you both individual driver costs and fleet-wide summaries.

Creating Scheduled Reports

One of the most powerful features is the ability to schedule reports to be sent automatically. Here's how it works:

Save Your Configuration

After setting up your filters (drivers, submission types, date range), save this configuration with a descriptive name like "Monthly Driver Submissions." The system remembers all your settings.

Set Up Automatic Delivery

Go to the Load section to see your saved configurations. From here, you can either generate a one-time report or schedule it for regular delivery.

For scheduling, choose when you want the report sent. For example, the last day of each month works well for monthly reviews. Enter the email addresses of everyone who should receive the report, separating multiple addresses with commas.

What You'll Receive

Your scheduled report will be automatically generated and emailed at the specified time. It will contain all driver submissions for that period, along with calculated totals and summaries.

Tips for Best Results

  • Set up your most common report configurations and save them for easy access

  • Use descriptive names when saving configurations so you can easily find them later

  • Consider scheduling reports to arrive just before your regular fleet meetings

  • The defect view is particularly useful for staying on top of vehicle maintenance issues
