Setting Up & Managing Drivers

Learn how to add drivers in RAM Assist, send login details, manage access codes, assign drivers to vehicles and upload their documents.

Once your vehicles are set up, the next step is adding your drivers. RAM Assist makes driver management simple with automatic setup and flexible monitoring options.

Adding New Drivers

Click Manage Drivers at the top of the screen, then follow these steps:

  1. Click Add Driver

  2. Enter their name and mobile number

  3. The system automatically sends them a text message

The text includes their login details and instructions for downloading the app, so drivers get everything they need to start using RAM Assist immediately.

Driver Login Details

Each driver receives unique login credentials:

  • Access code: Same for everyone in your company

  • Driver ID: Unique to each individual driver

You can view these codes anytime and resend them to drivers once per day using the SMS Credentials To button.

How Driver Assignment Works

RAM Assist uses automatic driver assignment based on vehicle checks. When a driver completes a vehicle check, they're declaring themselves as the current driver of that vehicle. The system then automatically reallocates them if they switch to a different vehicle.

This means you don't need to manually assign drivers to vehicles; the system handles it based on who's actually using each vehicle.

Driver Documentation

Similar to vehicle documents, you can upload documents for each driver. The key difference is access control:

  • Vehicle documents: All drivers can access these

  • Driver documents: Only the specific driver can access documents uploaded to their profile

Driver Activity Monitoring

At the bottom of each driver's profile, you'll find six alert cards corresponding to the six activities drivers can perform in RAM Assist:

  • Evidence checks

  • Accident reports

  • Fuel purchases

  • Expense claims

  • Vehicle checks

  • Vehicle breakdowns

Setting Up Alerts

For each activity, you can choose whether to receive email alerts and specify where they should be sent when drivers submit information.

Vehicle Check Alerts

Vehicle checks offer two notification options:

  • All vehicle checks: Get notified about every completed check

  • Defects only: Only receive alerts when issues are raised that need your attention, such as vehicles requiring garage bookings

This flexibility lets you stay informed about driver activities without being overwhelmed by unnecessary notifications. You can focus on the information that matters most to your operations.
