Setting Your Business Hours

How to set your business hours in the RAM Tracking portal.

Not all drivers work the same hours. Individual working hours let you set different schedules for each driver, so you can track business and private use accurately.

See how to set up custom working hours for drivers with different shift patterns.

Understanding Business vs Private Use

Business Hours: When drivers are allowed to use vehicles for work
Private Use: Any vehicle use outside of business hours

Default Business Hours

You can set company-wide business hours:

  1. Click the person icon (top right)

  2. Go to General Settings

  3. Set your standard business hours

All vehicle use within these hours counts as business use. Everything outside counts as private use.

Setting Individual Hours

When drivers work different shifts, you need individual settings:

  1. Go to Vehicles in the top menu

  2. Select Working Hours

  3. Click Individual Working Hours

  4. Set custom hours for each driver

Example Scenarios

Driver 1 - John Smith

  • Works 7:30am to 4:00pm, Monday to Friday

  • No weekend vehicle use allowed

  • Private use = any driving outside these times

Driver 2 - Joe Bloggs

  • Works 6:00am to 9:30pm, Monday to Friday

  • No weekend vehicle use allowed

  • Private use = any driving before 6am or after 9:30pm on weekdays

Viewing Private Use Reports

To see private journeys:

  1. Go to History Reports

  2. Select a vehicle

  3. Choose Private Report

The report shows only journeys outside the driver's working hours. For example, Joe Bloggs' private report would show a journey from 10pm to 10:30pm on Friday, because this was after his 9:30pm finish time.

Why Use Individual Hours?

Individual working hours help you:

  • Track business vs private use accurately

  • Handle different shift patterns

  • Monitor vehicle use outside work hours

  • Generate accurate private use reports

This feature is essential for fleets with drivers on different schedules or shift patterns.
